Who we are
Sail Homes is a trading name of PropertyBid Limited. This privacy policy explains how we use the personal data we collect from you when you use our website.
What data do we collect?
Sail Homes collects:
Personal identification information - name, email address, phone number and similar.
Information about properties you own.
Limited financial information.
How do we collect your data?
You directly provide Sail Homes with most of the data we collect. We collect and process data when you:
Register online or use any of our services.
Voluntarily complete a customer survey, or give feedback on any of our message boards or by email.
Use any of our services by phone call or messaging service.
We may also receive your data indirectly, from anti-money-laundering partners who provide personal identification information.
How will we use your data?
Sail Homes collects your data so that we can provide services and manage your account, contact you about other properties that may interest you, and contact you to help with buying or selling a property.
Your property's address, your contact details and your property details may be shared where appropriate to provide you with services, with contractors, surveyors, viewers, solicitors and ID verification services.
When Sail Homes performs a service, it may send your data to, and use the resulting information from, credit reference agencies to prevent fraudulent activity.
Why we are allowed to use your data
The law says we must have a reason for using your data. Ours are:
To do what you asked - preparing a valuation, marketing your home, or handling your sale. The law calls this performing a contract, or taking steps before one.
To meet rules we have to follow - checking who you are before we act for you, and keeping records afterwards. Money laundering rules and tax law both require this, and we cannot waive it.
Because we have a fair business reason - keeping the site working, preventing fraud, and improving what we do. The law calls this legitimate interests. We only rely on it where it does not override your rights, and you can object at any time.
Because you agreed - analytics cookies and marketing emails. You can withdraw your agreement whenever you like, and it is as easy to withdraw as it was to give.
Information about the property, not about you
When you ask for a valuation we obtain the official copy of the register for that property from HM Land Registry. That document is a public record, and it names the registered owner - who may be someone other than you, including someone who has died.
We use it to identify the property and to prepare your valuation. If you are named on a register we have obtained and you want to know what we hold, ask us and we will tell you.
Where we get data about you from someone else
Sometimes we hold data about you that you did not give us yourself. You have the same rights over it either way.
HM Land Registry gives us the official copy of the register, which names the registered owner. A solicitor, will writer or other partner may pass us your name and contact details when they refer you to us, and they should tell you at the time. Estate agency portals pass us your details when you enquire about a property.
In each case we use the same categories of data described above, for the same reasons, and we keep it for the same periods. We tell you within one month of receiving it, or when we first contact you, whichever comes first.
How long we keep it
We do not keep your data forever. If you asked for a valuation and did not go ahead, we keep it for two years, then delete it - long enough to help if you come back to us.
If you sold or bought through us, we keep the file for six years after completion. Tax law and our insurers both require this, and it is the period in which a claim could still be brought.
Identity check records are kept for five years after our work for you ends. Money laundering rules set that period and we cannot shorten it, even if you ask.
Marketing preferences are kept until you opt out, and then we keep a note that you opted out so we do not contact you again by mistake. Analytics data is kept for fourteen months.
Sending data outside the UK
Your data is stored in the UK. Our databases are in Amazon Web Services data centres here, and they do not leave.
Two things do involve transfers abroad. Google Analytics, if you agree to it, may process your data on servers outside the UK. Some of the software we use to run the business, such as email, is provided by companies based in the United States.
Where that happens we rely on the safeguards the law requires - either a decision by the UK government that the country protects your data properly, or the standard contract terms approved for this purpose. Ask us and we will tell you which applies to any transfer, and send you a copy.
How do we store your data?
Sail Homes securely stores your data at Amazon Web Services data centres in the UK. The databases can only be accessed by servers controlled by Sail Homes, and your data is encrypted at rest and in transit. Your data may be transferred to other companies in the course of providing you a service, or an aspect of one.
Marketing
Sail Homes would like to send you information about services of ours that we think you might like. If you have agreed to receive marketing, you may always opt out at a later date. You have the right at any time to stop us contacting you for marketing purposes.
What are your data protection rights?
We would like to make sure you are fully aware of all of your data protection rights. Every user is entitled to the following:
The right to access - you have the right to request copies of your personal data. This is free of charge. We may charge a reasonable fee only if a request is manifestly unfounded or excessive, or for further copies of the same information.
The right to rectification - you have the right to ask us to correct any information you believe is inaccurate, and to complete information you believe is incomplete.
The right to erasure - you have the right to ask us to erase your personal data, under certain conditions.
The right to restrict processing - you have the right to ask us to restrict the processing of your personal data, under certain conditions.
The right to object to processing - you have the right to object to our processing of your personal data, under certain conditions.
The right to data portability - you have the right to ask us to transfer the data we have collected to another organisation, or directly to you, under certain conditions.

Cookies
We ask before we set any analytics cookie. When you first arrive you will see a short banner. Until you choose, Google Analytics runs without storing anything on your device and without any identifier that would let us recognise you again.
Say yes and we set one analytics cookie, which tells us how people find the site and which pages they read. It does not tell us who you are, and we do not use it to advertise to you.
Say no and nothing is stored. We remember only your answer, so we do not ask on every page. To change your mind, delete the cookies for this site in your browser and the banner will appear again.
If you go on to become a client, the separate systems you log into do use cookies - to keep you signed in, and to keep your session secure. Those are strictly necessary for a service you have asked for, and you will be told about them at the point you sign in.
Other companies whose services appear on this site
Two things on this website are loaded from Google, which means Google receives your IP address when a page loads. We do not send them anything else, and neither is used to advertise to you.
Fonts. The typefaces on this site are served by Google Fonts.
reCAPTCHA. The valuation form is protected by Google reCAPTCHA, which checks that you are a person rather than an automated script. It is subject to the Google Privacy Policy and Terms of Service. Without it we would have to put the form behind a login, or accept that it gets abused.
Privacy policies of other websites
The Sail Homes website contains links to other websites. Our privacy policy applies only to our website, so if you click a link to another website, you should read their privacy policy.
Changes to our privacy policy
Sail Homes keeps its privacy policy under regular review and places any updates on this page. The date at the top of this page is when it was last changed.
